Privacy Policy

How Ogbia Community UK collects, uses and protects personal information, and the rights you have over your own data under UK GDPR.
Draft for review. This is placeholder wording. It has been structured to reflect UK GDPR principles and good practice, but it must be reviewed and approved by a qualified UK legal or data-protection professional before the association relies on it.

Who we are

Ogbia Community UK is the data controller for personal information collected through this website. Our contact details for data protection enquiries are on the contact page.

PLACEHOLDER: the committee should confirm the association's registered name, registered address and, if applicable, its ICO registration number.

What we collect

  • Membership applications: your name, preferred name, email address, telephone number, town or region in the UK, your Ogbia family or community connection if you choose to give it, and the membership category you apply for.
  • Consent records: whether you agreed to this policy, to receiving community communications, and to the use of your photograph.
  • Contact enquiries: your name, email address, enquiry category and message.
  • Event registrations: your name, contact details and any access or dietary requirements you tell us about.
  • Technical data needed to keep the site working securely.

Why we collect it

  • To process and review membership applications.
  • To administer membership and communicate with members about the association.
  • To organise and run events.
  • To answer enquiries.
  • To meet our legal and safeguarding obligations.

Our lawful basis

We rely on your consent for community communications and for publishing photographs. We rely on legitimate interests and, where a membership exists, on the performance of that membership relationship for the administration of membership records.

Who can see your information

Only authorised committee members and administrators can view membership records. Ordinary members cannot see other members' personal information. We do not publish a member directory unless a member has explicitly opted in, and any directory shows only limited information.

We do not sell personal information, and we do not share it with third parties except where we are legally required to or where a service provider processes it on our behalf under a written agreement.

How long we keep it

PLACEHOLDER: the committee should agree retention periods — for example, keeping membership records for the duration of membership plus a defined number of years, and deleting unsuccessful applications after a set period.

Your rights

  • Ask for a copy of the information we hold about you.
  • Ask us to correct information that is wrong.
  • Ask us to delete your information, subject to any legal obligation to keep it.
  • Withdraw consent at any time, including consent to photographs and to communications.
  • Object to or restrict certain processing.
  • Complain to the Information Commissioner's Office.

Security

Membership data is held in a secure database with access restricted by role. Passwords are never stored or displayed in readable form. Nothing sensitive is exposed in the public website.
